Supplying and contracting to mines: build a business buyers can assess

A focused offer, credible evidence and a realistic delivery plan help mining suppliers and contractors prepare for procurement conversations. Here is where to start.

A mine buys more than a product or a team of people. It buys confidence that the right work will be completed safely, to specification and when it is needed. For a new supplier or contractor, the first task is to make that confidence easier to establish.

You do not need to offer everything. You need to explain what you do well, show evidence and understand the buyer’s process.

Start with a clear, deliverable offer

Replace “general supplier” with a useful description of your capability: what you supply, the specifications you can meet, where you operate and how you support the customer afterwards. A contractor should also explain the work its team can execute, its available resources and its limits.

Choose an initial scope you can deliver consistently. A smaller order completed properly gives you a sounder foundation than a large promise you cannot fulfil.

Prepare evidence before the enquiry arrives

Build a current supplier information pack. Depending on the buyer and the work, useful records may include:

  • Company registration, ownership information and the registrations relevant to the scope.
  • Product specifications, authentic manufacturer authorisations where applicable, and quality information.
  • Relevant staff competence, equipment availability and safety arrangements.
  • References and photographs you have permission to share.
  • Service areas, a responsible contact and realistic lead times.

Ask each mine for its actual onboarding and tender requirements. First Quantum’s published supplier information, for example, highlights lawful conduct, workplace safety and environmental responsibility. Glencore describes risk-based supplier due diligence. These are individual operators’ approaches, rather than one universal registration checklist.

Use the buyer’s official procurement channel

Find the relevant supplier registration or expression-of-interest process through the operator’s official website. Confirm which site or business unit is buying. Keep the registration reference and maintain your details.

Being registered, appearing in a directory and receiving an enquiry are different from being awarded work. Read the tender, ask for clarification through the permitted channel and submit only what you can support.

Plan beyond the award

Before accepting an order, confirm specifications, delivery arrangements, acceptance criteria and the documentation needed for invoicing. Identify who will handle changes or problems. Contractors should clarify site access, mobilisation and responsibility for resources before committing their teams.

A useful first step this week is to prepare a one-page capability statement and ask a colleague to check whether a buyer could understand your offer without a phone call.
